Cancellation & Refund Policy

We understand that plans change. This policy outlines our terms for deposits, payments, cancellations, and refunds. Please read carefully before booking.

Reservation & Deposit

Securing your spot

Deposit Amount

A non-refundable deposit of $1500 USD per person is required at the time of booking to secure your place on the expedition or workshop.

Booking Guarantee

Your spot is not guaranteed until the deposit is received and confirmed in writing by Andes Adventure Visuals.

Non-Refundable

The deposit is non-refundable under all circumstances, including participant-initiated cancellations. This deposit covers administrative costs, permits, and advance bookings made on your behalf.

Final Payment

Balance due before departure

Payment Deadline

The remaining balance is due 90 days prior to departure. You will receive a payment reminder via email 120 days before your expedition.

Late Payment

Failure to make full payment by the deadline may result in cancellation of your booking without refund of the deposit.

Payment Methods

We accept bank transfers, credit cards (Visa, Mastercard), and PayPal. Payment instructions will be provided in your booking confirmation.

Participant-Initiated Cancellations

If you need to cancel

If you choose to cancel your reservation, the following refund schedule applies:

Refund Schedule

120+ days before departure
Deposit non-refundable
Any additional payments beyond the deposit will be refunded
91–119 days before departure
50% refundable
You will receive 50% of the total trip cost as a refund
61–90 days before departure
25% refundable
You will receive 25% of the total trip cost as a refund
0–60 days before departure
No refund
No refunds will be issued for cancellations within 60 days

Refund Processing

Refunds will be processed in the original form of payment within 30 business days of cancellation notification.

Cancellation Notification

All cancellations must be submitted in writing via email to andesadventurevisuals@gmail.com. The cancellation date is determined by when we receive your written notification.

If we must cancel

Cancellation Circumstances

If Andes Adventure Visuals must cancel an expedition due to unforeseen circumstances (e.g., minimum participant numbers not met, natural disasters, political instability, safety concerns), the following applies:

Full Refund Option

You will receive a full refund of all payments made, including the deposit.

Transfer Option

Alternatively, you may choose to transfer your payments to a future expedition of equal or greater value.

No Additional Liability

Andes Adventure Visuals is not responsible for any additional costs incurred by participants, such as flights, visas, travel insurance, gear purchases, or other personal expenses.

Cancellation Notice

We will notify you as soon as possible if we must cancel an expedition. In most cases, this will be at least 60 days before departure, though emergency situations may require shorter notice.

Missed Departures or Delays

Late arrivals and early departures

No Refunds

No refunds or credits will be issued for missed departures, delays, early departures, or unused portions of the expedition due to personal reasons, travel disruptions, or flight cancellations.

Your Responsibility

You are responsible for arriving at the meeting point on time. We recommend arriving at least one day early to account for potential travel delays.

Travel Insurance

This is why we strongly recommend comprehensive travel insurance that covers trip interruption and missed connections.

By booking an expedition or workshop with Andes Adventure Visuals, you acknowledge that you have read, understood, and agreed to the terms of this Cancellation & Refund Policy.
